This Privacy Notice Supplement and Consent to Use Personal Data (“Consent”) explains how the personal data you provide when registering and participating in an online or in-person event (an “Event”) hosted by the European Union & International Affairs Office (“EUO”) of The Church of Jesus Christ of Latter-day Saints (the “Church”) will be processed pursuant to Art. 13 of EU General Data Protection Regulation No. 2016/679 (“GDPR”) and supplements the Church’s Global Privacy Notice (“GPN”), PrivacyNotice.ChurchofJesusChrist.org. By registering for an Event, you consent to the processing described in this Notice and the GPN and grant the following rights and permissions in accordance with Article 6 para. 1a of the GDPR:
TYPE AND NATURE OF DATA COLLECTED AND PROCESSED
Contact Details: By completing the event registration form, the EUO will receive your personal data including name, email address, mailing address, and other data that you provide (“Contact Details”).
Recordings: While participating at an Event, the EUO may take photographs or audio or video recordings of the participants (“Recordings”).
USE OF CONTACT DETAILS AND RECORDINGS
Contact Details: When you register for an event, your contact details will be used to manage your participation, provide attendance materials, and send notices and updated details. If you voluntarily select to receive communications regarding future events and activities during registration, EUO will send you future communications as part of a mailing list to meet your request. The EUO may mention your name and your role/activity in or during the Event. Your Contact Details will not be used for electronic commercial communications absent your consent.
Recordings: You consent to the use of the Recordings for developing informative and publicity materials for the EUO and for communication activities on institutional channels and through the press, websites, and social networks. Further, you grant to the EUO all rights, including exploitation and other property rights arising out of or acquired by you in connection with your attendance, to use the Recordings without any restrictions in terms of time, place, or content and without any separate compensation. You authorize the EUO to use the Recordings in their original or altered form and to reproduce, exploit, distribute and make them publicly accessible.
STORAGE AND TRANSFER OF PERSONAL DATA
The Church may store copies of the Contact Details and Recordings at the EUO offices in the EEA and through third party service providers that process such information to assist in facilitating the events and EUO activities. Such third parties are contractually required by the Church to protect and not otherwise use such information. The Contact Details and Recordings may be transferred by the Church on occasion to servers in the U.S. To ensure the adequacy of protection of data transferred to other jurisdictions, the Church has concluded data transfer and processing agreements that include approved Standard Contractual Clauses.
CONSENT, ACCESS, RECTIFICATION, AND ERASURE
As the subject of data processing, you have various rights:
Right to revocation of consents: Your consent is voluntary and extends into the future, unless you revoke it, in which case the Contact Details, Recordings and corresponding data may no longer be used in the future for the purposes stated herein and must be deleted unless otherwise provided by law. Prior processing will not be affected. Further, your consent may be irrevocable in multi-person Recordings. To revoke your consent, please use the contact information below.
Right of access: You can request information about the purposes of data processing, the categories of personal data, the categories of recipients, the duration of the storage period, the origin of your data and the existence of automated decision making including profiling.
Right to rectification: You can request the correction of incorrect personal data. If you change or correct the stored data, the previously entered data is automatically and completely deleted unless otherwise provided by law.
Right to erasure: You may request the deletion of your personal data, to the extent the processing thereof is not necessary to exercise the right to freedom of expression and information, to fulfil a legal obligation, for reasons of public interest or to assert, exercise or defend legal claims.
Right to restriction of processing: You may request that the processing of your personal data be restricted.
Right to data portability: You may request direct transmission of the personal data you have provided to EUO to another responsible party, if possible, or that we provide you with the personal data.
Right to lodge a complaint: You may complain to the supervisory authority responsible for EUO if you believe that we are processing your personal data illegally.
