General FSY Conference Travel Information
General Youth Travel Information for the 2025 summer:
You are generally required to provide your own ground transportation to and from the FSY conference location. If a large number of youth from your stake will attend the same conference, stake leaders should consider arranging for commercial transportation, following the guidelines in the General Handbook: Serving in The Church of Jesus Christ of Latter-day Saints (2020), 20.7.7, ChurchofJesusChrist.org.
FSY will consider providing transportation for those whose stake center is about 3 hours or more from their assigned FSY conference location. Stakes between 2.5 and 3 hours away from the campus may or may not be assigned travel. Please note that travel times may vary based on traffic, and FSY uses an average time to make decisions. Each year, it is the responsibility of youth, parents, and the stake Young Women president to visit your Stake Assignment page to see if transportation is being provided to your stake by FSY. Even if your stake had transportation provided by FSY in years past, there is no guarantee it will be provided in the future.
If transportation is being provided to your stake by FSY, the FSY Youth Travel team will organize travel arrangements directly with your Stake Young Women’s President. Coordinating council FSY conference Representatives and ward FSY conference representatives should work with the stake Young Women’s and Young Men’s presidents to receive information about travel arrangements.
- We ask stakes that are receiving FSY-provided travel to make identifying the number of youth that will require travel and getting youth registered a priority. This will make the process easier and will ensure that all youth are provided travel that need it. Youth must be registered before On-cycle Open Registration begins to ensure a bedspace. See the Registration Timeline for a specific date each year.
- If your stake is receiving ground transportation: The number of youth riding the bus must be finalized 30 days prior to session start date. Youth who register after that date are not guaranteed a seat on the bus.
- Chaperones are required for stakes receiving ground transportation. See “Guidelines for Stake Bus Chaperones” below for more details.
- If your stake is receiving air transportation: The number of youth flying to a session must be finalized 75 days prior to session start date. Youth who register after that date are not guaranteed a seat on the flight.
- This timeline is based off airline policies.
- Chaperones are required for stakes receiving air transportation.
Guidelines for Stake Bus Chaperones:
- The stake Young Women president is responsible for selecting 2 adult chaperones per bus of 50 youth on Monday and Saturday mornings for their assigned session (they do not need to be the same people).
- A training will be provided for all chaperones.
- Monday:
- A driver(s) in a personal vehicle(s) will follow behind the busses to the FSY session to pick up the bus chaperones after all youth have checked in.
- Chaperones CANNOT stay at the session location during the week. Chaperones are only permitted to be on campus during youth check-in and checkout.
- The chaperones and driver(s) traveling more than 5 hours (one-way) will need to arrange hotel accommodations for the night and depart back to the stake center Tuesday morning. Funds will be provided to help with hotel costs.
- Depending on travel time, funds for Monday dinner may be provided to the chaperones and driver(s).
- Mileage funds for the driver(s) will be provided.
- Saturday
- A driver(s) in a personal vehicle(s) will bring the chaperones to the FSY session to drop them off prior to the youth checking out of the session.
- The chaperones and driver(s) may need to arrange hotel accommodations for Friday evening due to early pick up on Saturday morning. Funds will be provided to help with hotel costs.
- Depending on travel time, funds for Friday dinner and Saturday breakfast and lunch may be provided to the chaperones and driver(s).
- Mileage funds for the driver(s) will be provided.
- FSY will reimburse appropriate funds directly to stake.
- The reimbursement amount for meals, mileage, and hotel stays will be communicated to the stake Young Women president and stake financial clerk via email and will be based on average rates for the region.
- All hotel accommodations should be booked in advance to ensure the best price.
- Stakes will receive funds for chaperones in May.
- All receipts must be submitted directly to the stake within 30 days of the end of session.
